Annual Meeting 

+ Board of Trustee Vote

Dear Community,

In mid-December, you will receive a mailed packet to include information about The Association's Annual Meeting, to be held on Thursday, January 16, 2025, 7:00 pm at the clubhouse.  

 

Why do we have an annual meeting?  

It's a rule in our bylaws!

 

What is the difference between a monthly HOA meeting and the annual meeting?

At monthly meetings we:

  • discuss current/recent violations, maintenance issues, big projects and property sales in our community.

  • review how expenses are tracking against our budget set at the annual meeting.

  • discuss any planned social activities or pressing neighborhood/City of Columbus concerns.

 

At the annual meeting we:

  • review the proposed budget for the next year and approve by vote

  • vote/count the ballots for incoming trustees

  • committee overview of the previous year

 

Why should I attend the annual meeting? 

  • This is the best way to understand, from the start of the year, what anticipated expenses are, and how our budget is structured to cover these expenses. 

  • The annual meeting is an opportunity to participate in the voting process for the trustees - who make decisions on behalf of the association.

 

What will the packet contain?

  • An invitation to join the HOA at The Annual Meeting.

  • Nomination forms/profiles for trustees submitted prior to December 1st.***

  • Ballots to vote for incoming trustees + envelopes for returning the ballots.

 

Do you want to be considered for the board of trustees?

As you may know our board consists of 9 members.  Each year, 3 terms expire, necessitating in a continuous vote of 3 new members per year. Bringing new perspectives annually can help the board function with a community-centered mindset.  

If you complete the attached form and forward to Chris Davis at Onyx Realty by (ADD DATE HERE - TBD), your nomination information will be included in the Annual Meeting packet mailed to residents in mid-December.

*** More about nominations:

  • Per our bylaws, nominations may also be made from the floor of the annual meeting, and "write-ins" are accepted on the voting ballots.

  • If you are planning to BRING your ballot, consider holding your vote until it is known if someone will be nominated on the floor.
